Office Manager (Warehouse)

Job Description

 

Responsibilities:

  • Serve as first point of contact to all customers for customer service issues. 
  • Answer calls in a prompt, enthusiastic and professional manner.
  • Communicate to customers any deviation to schedule or issues affecting operations.
  • Take incoming phone calls that pertain to making, tracing, or checking on an order.
  • Maintain customer menus, enter orders, print invoice.
  • Maintain production schedule and communicate with warehouse to ensure production schedule are not delay.
  • Responsible for OSHA compliance and employee training. 
  • Create and maintain Standard Operational Procedure.
  • Maintain a clean and organized office area.
  • Monitor Employee Recognition Program and Fun Events.
  • Back up Administrative Assistants as needed.
  • Inventory office supplies, stationary – order when needed.
  • Offer and implement suggestions for process improvements within department
  • Responsible for all open order reports (KCN/SP/ISO/Bulk)
  • Work with various vendors (utilities, pest control, vending machines, cleaning service).
  • Weekly Payroll for Hourly employees.
  • Process invoices for payment.
  • Motivate employees to perform job functions, as well as meet departmental and organizational goals.
  • Complete miscellaneous tasks as requested by Credit Manager.

 

SUPERVISORY RESPONSIBILITIES:

  • This position has supervisory responsibilities and non-supervisory direct reports including 2 Administrative Assistants. 
  • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Requirements

 

Qualifications:

  • Some Office Management or commensurate experience preferred.
  • Ability to use various computer programs including, but not limited to Microsoft Excel, Microsoft Word, Microsoft Outlook. 
  • Ability to communicate and work in a team oriented atmosphere.

 EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree (B. A.) from four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS:

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Ability to effectively present information and respond to questions from groups of managers, and clients.

REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
