SYGMA Transportation Clerk

Job Description



To perform clerical duties that provide support to the transportation management team in the day to day operations of the transportation department; this includes maintaining regulatory compliance as required by the Department of Transportation.



  • Gathers, organizes, reviews and processes driver’s daily paperwork (e.g. driver logs, fuel receipts, ETA reports, vehicle inspections) to ensure records are complete and accurate according to established company standards. 
  • Answers phones, route calls and take messages; responds to driver’s issues and provides support for resolution.
  • Prepares driver payroll (e.g. weekly payroll, bonus information) and enters into Excel, submits to corporate on a timely basis.
  • Communicates with customers and drivers regarding delivery changes (e.g. late trucks, product shortages) and with co-workers to collaboratively resolve issues or concerns. 
  • Schedules pickups, makes appointments and assigns Backhauls to routes. 
  • Prepares driver payroll (e.g. weekly payroll, bonus information) and enters into Excel and payroll system and submits to corporate on a timely basis.
  • Assists Transportation Management team with verifying and processing of logs, completing and maintain reports (e.g. observations, vehicle tracking, Onboard Computer reports miles and gallons, profit/loss spreadsheets), completing accruals, arranging for payment of bills for Transportation department according to established company standard; provides assistance in compiling documents for DOT files.
  • Works with Transportation Management team to Sign off on routes and arrange common carriers where needed; make changes on delivery times on routes and notates alarm code changes for stores and drivers.
  • Works assigned schedule; exhibits regular and predictable attendance and works overtime as required to meet workload demands; performs other duties as assigned by Management.




  • A high school diploma, general education degree (GED, or equivalent degree plus 1-2 years data entry experience is required; previous experience in a high volume, route delivery operation is strongly preferred. 
  • Previous experience with Department of Transportation requirements and AS/400 knowledge is preferred.

  • While performing the duties of this job, the associate is regularly required to sit, talk and hear.  The associate is frequently required to stand, walk, bend, use hands to finger, handle or feel; reach with hands and arms.  The associate is occasionally required to stoop, kneel, coach or crawl and may have to lift up to 40 pounds occasionally. Specific vision abilities that may be required by this job include close vision and distance vision.
