The Business Development (BD) Department at The Coffee Bean & TeaLeaf® handles all franchising worldwide. The BD Operations Services Coordinator is an essential part of the Business Development Department, coordinating the department’s projects, commitments, systems, communications and administrative needs. The position reports to the Senior Director of Franchise Operations.
Operational Program Management:Manage promotional calendar and ordering process for all Domestic and International franchises
Coordinate and collaborate with the Senior Manager of Franchise Marketing on marketing and promotional activities
Help develop and manage tools for seasonal promotions: promotional calendar, roll out guides, placements sheets; monitor ongoing changes or additions.
Manage and maintain franchise reference material, support materials, guides and SOP’s, including all intranet resources.
Provide regular updates for both new and existing marketing and operational programs
Central Communications: Act as the primary home office contact for Franchisees and Franchise Business Managers. Attend internal meetings and keep Business Development Department updated and informed on all company projects and activities.
Relationship Management: Maintain positive relationships within and between the Business Development Department and Home Office Operations, RAD, Marketing, Product Development, Training and other departments. Expand and enhance relationships with Domestic and International Developers & Franchisees
Attend meetings and updates related to new programs, marketing promotions, new projects, and new products and promotions
Represent Business Development department in a positive and constructive manner with all parties
Event Coordination: Manage and coordinate domestic and international franchise events: Domestic Franchise Forums, International Franchise Conference, departmental meetings and Tuesday weekly meetings (agenda, sales report and minutes/notes/follow up preparation).
SharePoint Intranet Management: Develop, update and maintain website and franchise Intranet site
Project Management: Assist the Sr. Director of Franchise and Franchise Business Managers in developing, updating and maintaining field based projects, such as automated order processing, new store opening manuals, franchise operations manuals, store system standards, gift card and loyalty programs, and platform launches etc.
Administration: Assist Sr. Director of Franchise Operations VP Business Development, and department team members with all administrative needs, including external calls, expense reports (Senior Director, Franchise Operations), monthly reports, store development reports, maintaining the contact database, update product order forms travel arrangements, etc.
Store Operations: Must become proficient in basic The Coffee Bean & TeaLeaf® store operations skills. Two week in-store training program and periodic refresher programs required.
Able to work in a fast paced environment with shifting priorities
Able to manage multiple constituencies and interact with all levels of the organization from CEO to Baristas
Two plus years’ experience with franchise administration, quick service restaurant operations or similar experience
Bachelor’s degree in marketing, business or related field
Highly proficient in Word, Excel, Outlook, Power Point, Publisher
Working knowledge of Microsoft Access
Outstanding written and verbal communication skills
Highly organized with the ability to multi-task
Be an assertive and diplomatic self-starter
