JOB SUMMARY

The Administrative Assistant performs general  clerical duties in support of the Mayor’s office and other departments. The Administrative Assistant provides excellent customer service to all customers and co-workers.

ESSENTIAL JOB FUNCTIONS:    

  • Assists with main front office duties by answering phones and other general public questions.
  • Prepare scheduling appointments at the direction of the Executive Assistant;
  • Assist with gathering factual information regarding events, stories, etc. for the internal County Communications.
  • Help design and document electronic visual training tools for various departments in the County
  • File documents and maintains organized financial/County general files;
  • Processes and organizes mail;
  • Performs other assigned duties at the direction of the Executive Assistant.

Minimum Requirements

 

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Associates Degree (preferred in Public Administration);
  • Notary Public (to be obtained after employment);
  • Or equivalent training, education, and/or experience; and 
  • Valid driver’s license.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Skilled in the use small office equipment, including copy machines or multi-line telephone systems;
  • Skilled in using Google Suites, Microsoft Office products including Word, Excel, PowerPoint, etc.;
  • Ability to manage shared calendars and other basic website design
  • Good communication skills, both written and oral
  • Ability to work in a dynamic environment that requires adaptation to changing goals, priorities, and needs;
  • Ability to deal tactfully and professionally with confidential or controversial situations with the public and employees.
  • Ability to supervise, organize, and communicate effectively; and
  • Ability to cooperate with fellow employees as a team member.

PHYSICAL DEMANDS:

  • Work requires lifting and carrying (up to 10 pounds); crouching, grasping, hearing, lifting, kneeling, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, stooping, talking, visual acuity, and walking.

WORK ENVIRONMENT:           

  • Work is performed primarily in an inside office environment. The noise level is usually moderate.
