Mailroom Coordinator

 

  1. Coordinates and organizes all incoming and outgoing mail.  Ensures the timely and accurate delivery of mail.
  2. Monitors shipping costs and ensures compliance with company’s approval procedures. Actively reviews mailings to ensure all opportunities for combining shipments are used.
  3. Transports mail, supplies, documents, and records to and from various off-site locations as required.
  4. Maintains inventory of company forms printed in house and by outside vendors.
  5. Order supplies for Field Management as requested and ensures to maintain adequate supply levels at Corporate.
  6. Oversees the operation and maintenance of the FedEx and Postal systems.
  7. Oversees the organization of company recycling program.
  8. Back up front desk position by covering breaks/lunches to ensure reception area is always covered.
  9. Maintain consistent inventory of company required letterhead, envelopes, check paper, etc.
  10. Maintain mailing list for employees receiving company payroll/mail and coordinates the check stuffing and mailing.
  11. Administers company recognition programs, including Service Awards, Whatever It Takes awards, etc.
  12. Coordinates catalog orders by ensuring adequate supplies and shipping coordination.
  13. Processes driver welcome letters on a daily basis.
  14. Maintains the cleanliness of mailroom and supply storage areas
  15. Prepares and retrieves boxes from off site storage.
  16. Ensure the highest level of customer service and confidentiality at all times.
  17. All other duties as assigned.

 

 QUALIFICATIONS:

Valid driver’s license

Good driving record

Working knowledge of computer applications, spreadsheets, word processing

Ability to follow direction from supervisors

Ability to accept constructive criticism

Ability to show up to work on time as scheduled

 

EDUCATION and/or EXPERIENCE:

High School diploma or equivalent; six months related office experience and/or training; or equivalent combination of education and experience.
